What are Tasks?
Tasks are action items within a Case that ensure all required steps are completed before a Case can be formally approved. Each Task tracks a specific action, helping teams coordinate and maintain accountability throughout the insurance review and compliance process.
A Task represents a required action linked to a Case (or Loan) and may be associated with a specific Policy or Asset. Tasks are used to guide users through document uploads, data entry, communications, and approvals.
Task Components and Attributes
Each Task includes key information that supports its completion:
Title – A clear label for the action to be completed (e.g., “Email non-compliant feedback to insurance contact”).
Description – Guidance or instructions for how to complete the Task.
Type – Categorization of the Task, such as:
Populate Policy
Populate Asset
Email Lender or Insurance Contact
Upload or Generate Document
Off-Platform Action
Escalate
Approval Check
Case & Policy Links – Shows which Case (and optionally, Policy) the Task is associated with.
Due Date – Indicates the deadline for completion.
Dependencies – Highlights any Tasks that must be completed first (soft blocking).
Owner – The assigned user responsible for completing the Task.
Subscribers – Team members who receive updates on Task activity.
Activity Feed – A chronological record of changes, comments, and assignments.
Attachments – Users can now upload documents directly to a Task. These documents are stored only within the specific Task and workflow item they address, ensuring clarity and context.
Supported file types:
PDF
Image files (jpeg, gif, png)
Office suite files (Word, Excel, PowerPoint – doc, docx, xls, xlsx, ppt, pptx)
Email files (.eml)
User Actions on Tasks
Users interacting with a Task can:
Mark Complete / Reopen – Indicate that the Task is finished or revert it back to in-progress.
Assign or Reassign – Designate responsibility to another user.
Subscribe / Unsubscribe – Opt in or out of notifications about the Task’s progress.
Flag as Urgent – Call attention to important or time-sensitive Tasks.
Flag as Urgent – Call attention to important or time-sensitive Tasks.
Delete Task – Remove the Task if it is no longer needed.
Comment and Collaborate – Leave comments or @mention teammates for feedback or updates.
Attach Documents – Upload supporting files that are tied directly to the Task, making it easier to provide context and complete actions without losing track of related documents.
Tasks are organized within structured workflows (e.g., Analyze Initial Policy Documents, Approve Case) and support both individual responsibility and team collaboration, making them a core part of Case management on the platform.
