What are Cases?

A Case is a centralized workspace that brings together all the insurance-related documentation, actions, and approvals needed for a specific loan. Think of a Case as your command center for managing insurance compliance during a real estate transaction.

Each Case includes:

  • Assets tied to the loan

  • Insurance Policies associated with those assets

  • Tasks that need to be completed by your team or third parties

  • Compliance milestones and approval tracking

Cases are designed to streamline your workflows and give you a clear picture of where things stand at any point in time.


New Case Statuses

To provide a more intuitive and transparent user experience, Cases follow simplified status labels. These statuses help you track progress at a glance:

Status

Description

Draft

The Case is being set up and is not yet active.

Open

Work is in progress. Tasks, documents, or approvals may still be outstanding.

Approved

All compliance checks have been completed and the Case has been approved.

Deactivated

The Case is no longer active (e.g., closed loan, withdrawn transaction).


What Are Case Types?

Case Types represent the Service Type associated with your transaction workflow. They help define when and how insurance compliance is handled during the lifecycle of a loan or policy.

Here are the available Case Types:

  • New Case – Used when managing insurance compliance for a new origination deal. This typically involves pre-close compliance work to ensure all requirements are met before loan closing.

  • Renewal Case – Selected when reviewing a new version of an existing insurance policy. This Case Type is focused on handling policy renewals and associated compliance updates.

    • Audit Now – Chosen when a full compliance check is needed immediately upon Case creation. This is useful when onboarding a loan or policy that requires a thorough review upfront.

    • Future Renewal – Used when no immediate compliance review is required. The Case is created in advance, with compliance activities scheduled to begin closer to the policy’s expiration date.


What Can I Do in a Case?

Inside each Case, users can:

  • View linked Assets and Policies

  • Upload and manage insurance documents

  • Track and complete Tasks required for approval

  • Search and filter Cases using quick search tools

  • Update details like the Lender, Program, or Compliance Deadlines

  • Generate reports (e.g., Compliance Report, Insurance Requirements PDF)

  • Mark Policies as Approved, request renewals, or revert approvals if needed
